Privacy

Last updated: 30 October 2026. This notice covers healthcare-software.com, the free tracker scan on it, and the calls and emails you send us. The website

  • The site sets no cookies and runs no analytics, advertising, chat or session-replay scripts. Its security policy tells browsers to refuse scripts from any other domain.
  • Fonts and images are served from this site, so no font or image service learns that you visited.
  • The site is hosted on Cloudflare. Like any web host, Cloudflare processes each request (your IP address, browser type, the page address and the time) to deliver the page and protect the site from attacks, and keeps it under Cloudflare's privacy policy. We haven't turned on any extra request logging of our own.

The free tracker scan

When you scan a site, this is what happens and what is kept:

  • The address you enter is sent to our server. Our code then fetches that site's homepage and up to three of its booking, portal or patient pages, the same way a browser would, identifying itself as "HealthcareSoftwareScan/1.0". It reads only public pages and never fills in forms or logs in.
  • The result (the pages read, their titles, the trackers found, and the time) is stored in Cloudflare's cache for 10 minutes so a repeat scan of the same address is quick. After that it expires. We don't keep a list or database of scanned sites.
  • To stop abuse, our code keeps your IP address in memory for up to one minute to count how many scans you've run. It isn't written to storage.
  • The address you scanned is added to the page address (for example /scan/?url=yourpractice.com) so you can share or reload the result. That means it is in your browser history, and, like every page request, passes through Cloudflare's request processing described above.

Please scan only website addresses. The scan doesn't need, and shouldn't be given, any patient information.

Calls and emails

  • We collect what you tell us: your name, your practice, contact details, your website and what you'd like done.
  • We use it to reply, to send you a quote, and to do and invoice the work you order.
  • Please don't send patient names or health details. If you do, we delete them from our inbox and ask you to send the request again without them.
  • Emails pass through our email providers, and calls through our phone provider, under their own privacy terms.

Client work

  • For audits we look at your public pages and, if you give us read-only access, your tag manager. We use made-up test entries in forms and don't log in to portals or EHR systems.
  • Sites we build send form submissions straight to your scheduler or form service, not to us.
  • If a project gives us access to protected health information, we sign a business associate agreement with your practice first, and that agreement governs how we handle it.
  • We don't name clients or show their sites as examples without written permission.

Sharing

We don't sell personal information or share it for advertising. We share it only with the service providers that run our business (hosting, email, phone, accounting and payments), with your permission, or when the law requires it.

How long we keep it

Enquiries that don't become work: up to 24 months. Client records and invoices: as long as tax and accounting law requires. Scan results: 10 minutes, as described above.

Your choices

You can ask to see, correct or delete the information we hold about you by emailing hello@healthcare-software.com. We reply within 30 days. We may need to keep records the law requires.

Children

This site is for practice owners and staff. We don't knowingly collect information from children under 13.

Changes

If we change this notice, we update the date at the top.
